About the role 
We’re seeking a pro-active Executive Assistant to support the Executive Director (ED), Manufacturing and Logistics in managing all aspects of a national team. As we work in a dynamic environment you will need to be highly organised, collaborative, forward thinking and have loads of initiative. 

  

This role is a Fixed-Term full-time role that will support and report directly into the ED Manufacturing and Logistics. This is a hybrid role that will work flexibly between one of our offices and from home and there may also be occasional national travel required. 

  

As an effective Executive Assistant, your role is to: 

  • Act as the first point of contact for all enquires to the ED to effectively triage, prioritise and act including managing the flow of communication. 

  • Coordinate travel bookings and manage diary appointments 

  • Prepare papers, presentations, reports and high-level documentation, drafting complex correspondence when required 

  • Schedule individual and team meetings, prepare agendas, record and distribute accurate minutes 

  • Liaise with other assistants in the management of meeting and work schedules for team members 

  • Assist the ED in managing budget expenses

  • Significant experience in Executive Assistant/Senior Personal Assistant role, preferably at an Executive level, including management of diaries, travel and meetings. 

  • A pro-active nature with the ability to pre-empt ED’s needs and requirements 

  • High level of competence in Microsoft Office Suite. 

  • A strong sense of discretion and the ability to manage sensitive information within a fast-paced environment with competing and changing priorities. 

  • Excellent communication and interpersonal skills, including the ability to work co-operatively and build relationships at all levels internally and externally. 

  • Previous experience preparing reports, presentations and documentation with an ability to interpret, distil and convey information verbally and in writing. 

  • Excellent organisation and time management skills with the ability to use initiative to get things done.
